Dancers are trained, skilled professionals who have studied for years to master their craft. They provide high-quality entertainment and when setting their fees, they have to factor in creative preparation, costumes and rehearsal time.
Prices will vary depending on the level of experience of each act, travel time to your event, the event and show type and the number of dancers performing. Here is a rough guide to the basic price ranges for standard packages:

HOW LONG WILL THEY Perform FOR?
Dancers can tailor their performance times to suit your event, whether it be a short and fast-paced 15 minute set or longer and multiple sets for bigger events and weddings. Here are some examples of single dance set lengths:
Solo dance performance: 3 minutes to 20 minutes
Group dance: 2 x 5 minute routines
Full cabaret or troupe production: 45 minutes to 3 hours
Taster class: 1 hour
Sets may be split into two or three short performances. Longer packages will typically involve more routines, mix and mingle time with guests, time for guests to join in, and possibly more dancers.

Flooring
Dancers will need a smooth, flat surface area on which to perform. It should be free from furniture, pillars, cables, low overhead beams and other obstacles. Ideally there will also be some wing space at the sides of the stage for high-speed entrances and exits.
Vinyl or sprung floors are ideal for dancers as they absorb impact when landing on the ground. If the floor is wooden and your performer will be dancing barefoot, the area should be checked for splinters and protruding nails.
Stage Size
The amount of performance space required depends on the style of dancing, the number of dancers and the type of show. Here is an outline of minimum performance space required:
Solo Salsa or Tap Dancer: 4m x 4m
Solo Ballet or Contemporary Dancer: 6m x 4m
Dance Couple: 7m x 6m
Dancer Trio: 8m x 6m
Four or more dancers: 9m x 6m or more
If your guests will be dancing, they will need sufficient space to move safely and comfortably. You should allow 1.5m x 1.5m per person and 3m x 3m per couple.
Hired dancers may require access to the performance area ahead of the show, in order to check the space and make any necessary adjustments to the performance.
Equipment
Most dance acts do not provide their own lighting or PA, although some do. Dancers will usually bring their own music, so make sure there is a facility to play it. As with any entertainment booking, any electrical equipment used should be PAT tested and operated by trained technicians.
Dancers and dance troupe captains will want to hand music to the DJ or sound technician (if this has not been arranged separately) and go over how to cue the set.
As always, the best advice we can give is to ask your act or acts about their set-up requirements before booking, as space, equipment and set-up requirements will vary from act to act.
Other Considerations

It is advisable for a designated person to greet dancers as they arrive at the venue, to show them where the dressing room, toilets, backstage and stage area are located and where they can get food and drink. They should also act as a point of contact so that any issues relating to performance times or equipment can be communicated.

Many performers will come in a car or van, so make sure they have a reserved parking space as close to the performance area as possible, so that they can load and unload easily. For events in busy town centres, performers will appreciate you letting them know where the nearest available parking spaces are or where public car parks are located.
backstage area
Dancers require a private room away from the guests and the public, ideally with good lighting and a mirror, in which to get changed, warm up and relax in between sets. The space should be secure enough for them to be able to leave their personal belongings. A small, lockable room or back office may be sufficient if there is not a custom-made dressing room available, although if you have hired a troupe of dancers, they will need more space.
If possible, bathroom facilities should also be provided. Dancing is very physically demanding and performers are likely to be hot and sweaty by the end of the show and want to shower. There should also be access to drinking water.
ESSENTIAL TIPS FOR BOOKING A dance act
How far in advance should I book?
Popular dancers get booked up months in advance. Weekends are often busy times and Christmas Eve and New Year’s Eve get booked up well in advance. So, get your booking in nice and early!
Do I need to provide food?
Dancers use a lot of energy when they perform, so ensure they have easy access to soft drinks and water free of charge. Performers will not expect alcoholic drinks to be included. A ready supply of snacks and sandwiches will also keep hard working performers fuelled over what can be a long day. This can be set up in a designated area or as a running tab at the bar.
Whatever kind of dance act you have hired, soft drinks, water, tea and coffee should be available, and if they are with you all day, a proper meal should be provided and a quiet place to eat, away from the public and guests.
Do I need to pay a deposit?
Dancers usually require a deposit of around 15-20% of the overall cost, in order to secure the booking. This protects the performer against lost income in the event of cancellation, and also gives you reassurance that you have a confirmed booking.
Will I have to cover travel expenses?
These will usually be included in the quote you are given, as the dancer will need to calculate their travel costs, especially if they are travelling some distance.
Cancellation and Insurance
What happens if the act cancels?
Thankfully this rarely happens, but in the unlikely event that, due to illness or other unforeseen circumstances, a dance act is unable to perform for you as agreed, they will usually have a contingency plan. This means they can send a similar performer in their place, at no extra cost to you. For confirmation of this, you can check the Terms and Conditions in your contract.
What happens if our event is cancelled?
If you are in the unlucky position of having to cancel your event, there will be a cancellation fee. The amount usually increases the closer it gets to the event date. For example, cancelling 90 days before the event might incur 75% of the overall fee, while cancelling less than 30 days prior might mean paying the entire sum.
These conditions should be laid out in the contract you receive when booking, so check before signing. If you have any reason to think your event may not go ahead as planned, it would be better to let your act know as soon as possible.
Insurance / Risk Assessment
Ideally, the venue and the act you hire will have Public Liability Insurance. This covers you and them in the event of a claim, should any performers, members of the public or guests be injured at your event, or any damage be caused to property.
If your act is a member of Equity, a trade union that represent live performers in the entertainment industry in the UK (the American Guild of Musical Artists or the Actors' Equity Association in the U.S. and various unions and societies in Europe), this gives you extra reassurance that they are professional and trustworthy, fully insured and abiding by industry standard contracts.

When it comes to practicalities, it’s always better to discuss them in advance, to avoid any unexpected hitches on the day. So don’t be shy. Make sure you and your performer are clear on what is required. Good communication is the key to planning a great event.
